About Bast Heating & Cooling
Bast Heating & Cooling is a veteran-owned and operated HVAC and hot water company based in McMurray, Pennsylvania, serving the South Hills of Pittsburgh and Southwestern PA. Founded in 2017 by U.S. Army veteran Brian Bastianini, the company runs its business cards, spend controls, and receipt capture on Affiniti.
Before Affiniti
Running a multi-million dollar business on personal credit
Brian Bastianini is a U.S. Army veteran who served five years, including a deployment in Tikrit, Iraq. He returned home with the same deep commitment to service that defined his military career, and channeled it into mastering the HVACR trade.
After completing trade school and gaining experience at several established HVACR companies, Brian took a bold leap in 2017. He founded Bast Heating & Cooling with a clear vision: to serve the South Hills of Pittsburgh with the same dedication, integrity, and excellence he brought to his time in uniform. In under a decade, he has built it into a multi-seven-figure operation.
Beneath the growth lay a financial vulnerability. “We used my personal Discover credit card for most of the business’s life,” Brian explained. With only a $14,000 business card limit compared to his $90,000 personal limit, the choice was clear, but problematic. “How was I supposed to comfortably spend $30,000 to $40,000 on supplies with a limit that low?”
“I had to hand over my personal card to a few trusted employees whenever they needed to make purchases,” Brian admitted. “The way I managed finances wasn’t as sophisticated as I wanted.”

The switch
A 30-second call that changed everything
When the Affiniti team cold-called Brian one afternoon on behalf of ACCA, he almost hung up. Instead, he gave it a shot, and within 30 seconds he was hooked. “I’ve always had a lot of respect for trade associations because they fight for us on Capitol Hill,” Brian said. “Looking back, it was one of the best decisions I’ve ever made for this business.”
Within a week, Brian was approved for a $70,000 credit limit, nearly matching his personal card but with the controls of a real business platform. The implementation team set up employee cards with custom spending limits and turned on receipt capture for every purchase: a cardholder texts in a photo of the receipt, Affiniti’s AI matches it to the transaction, and the system follows up on anything missing so Brian doesn’t have to.
The whole setup took 30 days, and most of that was Brian deciding how much freedom each employee should have.
Running the business on Affiniti
Eight cards instead of one Discover card passed around the shop
Brian now runs eight employee cards, each with its own limit, instead of one personal card passed around the shop. That alone solved the problem he started with. The spend controls behind each card are what changed how he manages the business.
Every card carries its own policy. A service tech can get a daily cap sized to a normal parts run. An installer can get a monthly cap that matches the jobs on his schedule. Cards can be restricted to weekdays or working hours, locked to specific vendors so the supply-house card only works at the supply house, and set to close automatically on a given date when a project ends. A new hire gets a card with guardrails on day one. Nobody gets the owner’s Discover card anymore.
Every transaction triggers a real-time text alert on Brian’s phone, so he sees a purchase the moment it happens, not when the statement arrives.
The battery charge that surfaced in the first month
The impact was immediate. Within a month, Brian caught an employee charging batteries to the company account, a discovery made possible by receipt capture. “It really made me think,” he said. “How many questionable purchases have slipped through over the past seven years?”
The mechanism is simple. A tech buys a part, snaps the receipt, and texts it in. Affiniti’s AI reads it, matches it to the right card transaction, and files it. If a receipt doesn’t show up, the system reminds the tech automatically. More than 1,100 receipts have come through this way, with a 100% match rate, and Brian has never had to run a month-end receipt hunt. Each one carries the job it belongs to, so Brian can see what a replacement or a service call actually cost while the truck is still on site, not when the statement arrives.
“I never really stopped to think about how I was running the financial side of my business,” Brian admitted. “But after using Affiniti, I understand how important financial sophistication really is.”
The results
A $70,000 line, 1,100 receipts, and nobody holding the owner’s card
Brian came to Affiniti because his business card limit was too small. Within 30 days he had replaced a personal card, a stack of IOUs, and a lot of trust with a system that enforces the rules for him.
What that looks like in practice:
- No more shared personal cards. Eight employee cards, each with its own limit and policy, replaced one Discover card handed across the counter.
- A questionable purchase caught in the first 30 days. Receipt capture flagged the battery charge; the old setup would never have surfaced it.
- More than 1,100 receipts filed without a month-end scramble. Every one matched to its transaction by Affiniti’s AI, with the system doing the follow-up.
- Credit that fit the business. A $70,000 line approved in a week, sized to a shop that spends $30,000 to $40,000 a month on supplies.
- Visibility in real time. Every purchase on every card hits Brian’s phone the moment it happens.
- Set up in 30 days without pulling Brian or his team off the trucks.
Today, when a Bast tech buys a part, the card policy decides whether the purchase goes through, the receipt files itself against the job, and Brian gets a text before the tech is back in the van. Eight cards, one dashboard, and no personal Discover card in anyone’s pocket.
Brian’s advice to other HVACR businesses
Brian’s advice to other owners isn’t about which card to get. It’s about looking at how spend is actually managed day to day, because most contractors never do until something goes wrong.
“Honestly, if you haven’t taken a hard look at how you’re managing spend, it’s worth pausing to reflect,” Brian says.
For a veteran who spent five years accountable for every piece of equipment in his unit, running a company on a personal card and good faith was never going to sit right. Now it doesn’t have to. “It helps me sleep better at night knowing exactly where every dollar is going.”
